Job Summary
We are looking to hire an Assistant Operations Manager who will wear many hats, including the primary responsibility of supporting the Managing Trustee to ensure all programmes are running as per plan, bringing the right talent into the organisation, planning and executing projects and programmes along with other administrative duties.

What Your Role Will Entail?
Executive Office Management
- Provide Administrative support to the Managing Trustee as and when needed to ensure smooth and successful delivery of results.
- Anticipate the needs of the Managing Trustee and Senior Leadership Team and provide the appropriate support and guidance to ensure the team is operating efficiently and effectively, i.e. Leadership Team meetings, setting up calls etc.
- Foster productive and collaborative relationships internally and externally on behalf of the Managing Trustee.
- Coordinate speaking commitments, conferences and other official duties as required.
- Support in the preparation of presentations, creating briefing materials for meetings and events
- Draft and create organisational reports/update reports to be sent to donors and other stakeholders.
Project Management
- Provide coordination and support in planning strategic initiatives and special projects as required.
- Lead or participate in cross-functional project teams or special initiatives to achieve specific outcomes aligned to the organisation’s goals and mission.
- Work with any function in case of any need, for instance: critical projects or jobs to be completed on tight timelines.
- Create well-organised project timelines that keep crucial company projects on track for.
- The ability to anticipate needs and preferences.
- Expert scheduling proficiency in creating systemised processes.
- Coordinating with all leads, coordinators and volunteers working on multiple projects.
- Communicate tasks, deadlines and follow-ups with all teams.
- Regularly update the Managing Trustee with the daily status report.
- Ensure timely execution of projects by providing the necessary support.
- Travel anywhere in India or abroad to represent the organisation if required and monitor the project implementation sequence.
HR
- With the aid of volunteers managing end-to-end recruitment of volunteers, interns, team members, and board members.
- The role involves timely fulfilling of vacancies, creating JDs, ensuring smooth onboarding, capacity building, retention of candidates.
Marketing:
- Promoting projects to end users.
- Achieving fundraising goals.
- Coordinate with volunteers in various marketing tasks; branding, market research, PR, digital marketing etc.
Miscellaneous roles
- Maintain compliance calendar.
- Maintain social media calendar.
- Maintain all financial records.
- Support Managing Trustee in handling official communications and other organisation-related responsibilities.
- Manage the regular updates on We Grow Forest Foundation’s Website and Social Media handles
What you need for this position?
Qualifications:
- Any Bachelor’s/Master’s degree with a minimum CGPA 6.5
- English | Social Work | Environmental Sciences |Community Science |Botany | Agriculture |Forestry Alternative Economics | Ecological Economics | Journalism | Communication | Or any other degree
- Any other relevant qualifications
Competencies:
- Strong organisational skills that reflect the ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail in projects and programmes.
- A voracious reader who can emerge as a functional subject matter expert (become familiar with We Grow Forest Foundation vocabulary) based on self-study and guidance from the core Secretariate.
- Solid interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and sponsors.
- Above average level reading, writing, listening and speaking skills in the English language.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
- Proficiency in Microsoft Office and other office productivity tools, with an aptitude to learn new software and systems.
- Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge.
- Ability to manage We Grow Forest Foundation’s social media handles to enhance the visibility of the organisation.
- Willingness and interest to travel anywhere in India and abroad.
- Passion for Photography, including wildlife and nature photography ( will be an advantage).
- Creative designing and proficiency in Photoshop (will be an advantage).
Experience:
- At least two years of relevant experience in project management or HR (recruitment) role reporting directly to upper management is desired.
- Exposure to the non-profit management & publication sector is desired.
- Working knowledge of the non-profit advocacy environment (domestic & international).
- Fundraising experience (will be an advantage).
- Freshers can also apply.
- NCC Certificate or any social work experience will be an added advantage.
